How a Fill Shelves workflow works

Four numbers per facing

Minimum is the level that triggers a trip. Target is what you refill up to. Maximum is your upper bound for planning. Capacity is what the shelf physically holds — and it is the one people skip, then wonder why the app asks them to fit thirty units into space for twenty-four.

Set minimum by how long a gap you can tolerate, not by how fast the product sells. A slow seller you never want to be out of can carry a higher minimum than a fast one you restock twice a day.

From sale to stockroom trip

A POS sale reduces the shelf estimate. When the estimate drops below the minimum, refill work appears. The quantity is the gap up to target, bounded by two things: how much room is left on the shelf, and how much is actually in the backroom.

Both bounds matter for different reasons. Without the capacity bound you get instructions nobody can follow. Without the availability bound you send someone to fetch stock that is not there — which, repeated, is how staff stop trusting the list.

Why the list is ordered the way it is

Work is sorted by the physical sequence you define for your own stockroom — zones, then aisles, then shelves, then bins. It follows the order you tell it, and cannot know distances you have not described.

Within the same position, the more urgent item comes first: how far below minimum, whether the shelf is completely empty, how fast the product moves, and any priority you have set. Every ranking breaks down into those factors, because a list that cannot explain itself gets reordered by hand.

Common questions

What if the same product sells twice while the list is open?
The existing task increases rather than a second one appearing. Otherwise a busy hour produces the same product five times in one walk.
