Replacing Stocky’s Fill Shelves

What Fill Shelves did

Fill Shelves was a way of building a purchase order. It looked at what had sold and what you had on hand, and suggested enough of each product to bring it back up to the maximum you set, ready to send to a supplier.

If that is the part you relied on: on the Pro plan, this app now keeps its own purchase orders — a supplier, a line, an approval, and a record of what arrived — never sent to Shopify until stock is actually received. On Starter and Retail, use a separate purchasing app for that instead.

The job that comes after the order

Ordering stock is one job. Getting it from the backroom onto the shelf, again and again as it sells through the day, is another — and on a busy floor it is the one staff do every hour.

That second job is what this app does. POS sales lower the figure it keeps for each shelf, and when a shelf falls below the minimum you set, the product goes onto a refill list on the POS device: which bin, and how many to bring. Plenty of shops will want both — a purchasing app for the supplier, and this for the shop floor.

What Shopify does not track

Shopify tracks inventory per Location, and it does that well. What it does not have is a concept of “on the shelf” versus “in the stockroom” inside one Location — there is no API for it, and any app suggesting otherwise is describing its own bookkeeping.

So a shop-floor tool has to keep its own shelf model: what each facing should hold, what is believed to be on it now, and what that means for the next trip to the stockroom.

Where the numbers come from, plainly

A shelf quantity inside one Location is an estimate. It is derived from your recorded sales, refills and counts — not read from Shopify, because Shopify does not hold it.

That matters on a Saturday. An estimate that has drifted should say so rather than presenting itself as fact, which is why every shelf figure here carries a state: verified by a recent count, estimated, stale, or inconsistent with recorded activity. A count resets it to verified.

Common questions

Does this app create purchase orders?

On the Pro plan, yes — its own record of a supplier, an order and what has arrived, kept separately from Shopify and never sent to it. Starter and Retail do not include this; use a purchasing app for reordering and this app for restocking the shop floor.

Will my Stocky data transfer?

The columns that map cleanly do: SKU, barcode, bin, minimum, maximum and reorder point. Bins named in the file are created and each product is pointed at its bin. Import shows a line-by-line preview, retains columns it cannot place rather than dropping them, and can be rolled back. Purchase order history and supplier records are not part of the import, and it is better to know that before you choose.

Can I still get my Stocky data out?

If Stocky still lets you export, do it now and keep the raw files unedited. Whatever was not exported is not something any third party can recover for you.
